Administrative Services

Administration

The Department of Administrative Services provides support services to all other agency departments as well as providing fiscal, transportation/physical plant, staff training and other services for the agency.

Fiscal

The fiscal office maintains the financial records for Hudson Milestones along with handling accounts receivable and payable. Daily activities include managing the agency's cash flow, paying all bills, investing agency funds and managing the budget.

The office also prepares all monthly reports for funding sources, prepares budgets for new programs and works with the other department directors in preparing the programmatic budget for the new year.

Transportation/Physical Plant

One of the most visible parts of the department, these staff are responsible for safely picking up clients from their home and bringing them to either an adult day program or one of the day care centers and then bringing them home again. The agency has a fleet of 37 vehicles on the road which ranges from passenger cars to mini school buses.

Another major component is the Physical Pant operation which maintains the property of 16 sites. The properties include homes, an apartment building, day program sites and more. The main focus of the staff is to provide an environment that is safe for the clients, staff and visitors. Although the budget is limited, our homes are among the best kept properties on their blocks.

Personnel/Training

The needs of the employees, whether personal or work related, are part of the daily responsibility of the Department of Administrative Services.

The personnel office is responsible for everything from new hire orientation and health benefit administration to payroll and keeping the personnel files for over 250 staff.

Meanwhile, the Training Office is not only responsible for the pre-service trainings/First-Aide, CPR, Preventing Abuse & Neglect, Overview of Developmental Disabilities and Medication Administration) for Hudson Milestones but is also responsible for training all DDD funded staff in Hudson County. The trainer also trains staff in Crisis Management, Universal Precautions and routinely develops new trainings that help staff perform at a high level.

Information Technology/Clerical Support

If the Transportation/Physical Plant components are the most visible, then this area of information technology and clerical support is probably the most hidden but none the less very important. Any business in today's world is highly dependent on computers for its daily operation and it's no different for a not-for-profit.

We have become so used to keeping information on a computer, that when a problem arises it's important to have someone who can troubleshoot those problems. Our staff are skilled at doing just that. The information that we collect is used for reports to more effectively manage the programs.

A major player in the information age is the clerical support staff. Whether they are called secretaries or administrative assistants, they are valued team members who play a key role in helping the agency achieve its mission.
